Event Coordinators

Someone on the ground, without giving up control.

Most organizers don't want to manage every applicant and check-in themselves. An Event Coordinator does the day-to-day work for one event while you keep an eye on everything.

Two ways to get a coordinator

Add people from your own team, or ask Evexa for a coordinator. Those are the only two routes, so a coordinator is always someone you or Evexa have vetted.

Your own team, signed in as coordinators

Add each person's name, email and phone. They sign up as an Event Coordinator with that email and see only coordinator work: no event applications and no crew features.

Or pick one from Evexa

Tick the option while creating your event and set a budget. Evexa shows you up to five coordinators in your city who are free that day. Open their profiles, choose one, and they get your request.

They accept, or you choose again

The coordinator you pick accepts or declines in the app. If they decline or don't answer within 24 hours, that name is marked and you choose another. Once one accepts, the rest disappear.

Identity checked first

A coordinator-only login has to verify a government ID and a selfie before they can manage events.

You stay in charge

A coordinator handles applicants, check-in and attendance, announcements and expense claims for their event. Deleting events, billing and promotions stay with you, and their new event drafts or edits to a live event wait for your approval.

Frequently asked questions

Can any Evexa user become my coordinator?

No. A coordinator is either someone you added to your own team or someone you picked from Evexa's coordinators. Browsing the whole crew to appoint a coordinator isn't an option.

Does a coordinator see all my events?

No. They only see events you assign them to, and they accept each event separately.

Who pays the coordinator?

You pay the coordinator directly, the same way you pay crew. The fee for the event is shown to them before they accept.

Does Evexa charge a fee on coordinator pay?

Evexa's service fee applies when the coordinator comes from Evexa, or already has an Evexa account. A coordinator from your own team who only uses the coordinator login carries no service fee.

What if none of the five can do it?

If every name declines, Evexa shows you the next group. If nobody is available, you can assign someone from your own team instead.
