Book Again & Auto-Backfill

Rehire the crew you trust. Fill a gap before it hurts.

Most events repeat. Evexa lets an organizer bring back the crew from an earlier event in one step, alerts free crew who fit a new event, and, if someone drops out, offers that spot to other free professionals automatically.

Book again from a past event

Pick an earlier event and see everyone who worked it. Each person is checked against the new event: still active, right level for a role, and free on every day. Tick who you want and invite them together.

No double-booking

A crew member who is already booked or marked unavailable on those days is shown with the reason and is not invited. Invited crew get their calendar blocked and join the event group chat.

Matching crew are alerted

When an event goes live, free crew whose department, level and city fit are notified. Nobody is alerted twice within a day, and the number of alerts per event is capped.

Auto-Backfill when someone drops out

Switch it on for an event. If a confirmed crew member cancels, the best-matched free professionals are offered the spot. The first person to accept gets it; everyone else is told it is taken.

You stay in control

Auto-Backfill is off by default and set per event. The organizer can ask more people if the first group does not fill the spot. Students are not offered backfill spots.

Crew confirm with the agreement

Crew who are invited directly accept the Event Participation Agreement in the app to confirm their spot, the same agreement used when they apply.

Frequently asked questions

Who can I rebook?

Anyone who was accepted on the earlier event, as long as their account is active, they fit a role on the new event at their level, and they are free on all its days.

Does Auto-Backfill send offers by itself?

Only for events where the organizer switched it on, and only when a confirmed crew member cancels. Marking someone absent does not trigger it; the organizer can add a spot and use Find replacement.

What if two people accept at once?

Only one gets the spot. The seat is claimed in a single step, so the second person is told the shift was already filled.

Is there any extra charge?

These tools are part of the organizer app. Pay is still set by the crew level of the role.
